Position OverviewThe Payroll Administrator will be the primary source for all corporate employee payroll related items; including processing, inquiries, reporting and more. Strong knowledge of Federal, State and local payroll tax laws and UltiPro Payroll Software is vital to this role. In addition to payroll, this individual will support the Human Resources team in the areas of employment, reports and payroll records. The Payroll administrator will review and process each department's weekly compensation schedule and ensure each staff member is paid accurately. In this position, you will work closely with other financial personnel to account for wage garnishments, employment taxes and retirement accounts within each employee's paycheck. The payroll administrator is responsible for monitoring all tasks necessary to accomplish the organization's payroll processing objectives, including relationships with external auditors and state and federal agencies. -This position is non-exempt and reports to the Director of Human Resources.Essential FunctionsComprehensive understanding of UltiPro for payroll processing; time off and attendance, reporting, manage time-card exceptions and supervisor time-card approvals, employee taxes, exemptions, transfers, garnishments, pay deductions, etc.Reviews all new hire, termination and employee change paperwork for payroll processing in an accurate and timely mannerResponsible for timely and accurate processing of weekly payroll for all Corporate employees residing in multiple states and CanadaPrepares various payroll related reports on a weekly, monthly or on an as needed basisIdentify ways to further automate payroll/HR systems and processesActs as point of contact with UltiPro for payroll related issues and case managementAttends meetings regarding UltiPro payroll concerns and works with team to provide resolutions -Prepares payroll tax reports and works closely with financeAssist employees with various inquiries regarding payroll issues, employment policies and benefits -Organizes and maintains employee payroll filesResponds to a wide variety of payroll inquires which may involve researching programs, policies, proceduresResponds to all employment verification requests (i.e. EDD, State Disability, etc.)Reporting for audit accrued benefits and leave balancesMaintains compliance with federal and state regulations concerning employment, payroll laws and reportingMay assist with vendor invoices for payment and secures proper approvals in a timely mannerPerforms additional duties as assigned to provide support to the HR teamAdminister paychecks, deduction summaries and earnings statements for all staff a weekly scheduleRecord hours worked, wage amounts and other data about each employee into a computerized payroll accounting system each weekEvaluate the accuracy of time-sheets submitted by each company department every week and contact supervisors or individual employees when there is a discrepancyRespond to any errors in payroll by reviewing past records and making any wage corrections or adjustments when necessaryTrack employee absences through the payroll software and record details about personal days, sick leave, jury duty and extended leaves of absenceAssist with UltiPro training and payroll processes for Managers and SupervisorsAssist in special projects, training and HR processes and formsRequirements High School diploma or equivalent, Bachelor's Degree A PlusMinimum of 2-4 years' experience supporting HR Payroll2-4 years' experience with UltiPro Payroll Software, preferred2-4 years' experience supporting multiple state payrollsFamiliarity with Canadian laws and regulations as they relate to PayrollHigh attention to detailAdvanced proficiency with Microsoft Office Suite, specifically Excel and WordStrong organizational skills and ability to prioritize and multi taskProfessional poise about written/verbal communication, emotional intelligence, and team collaborationExercises discretion and maintains a high level of confidentialityProactive and enthusiasticStrong proclivity to manage multiple tasks simultaneously, and quickly adapt to changes in work assignmentCast & Crew provides a comprehensive benefits package including health, dental, vision, life insurance, paid holidays, paid vacation, sick time, 401K option, and more!
